Sort a spreadsheet by color Johnnyrazz 8/24/09 4:24 PM
My colleagues and I have been prioritizing information on a call list  by color coding it. I would love to be able to sort the spreadsheet by color. I know that I could just create another column regarding what the colors stand for, but it would still be great nonetheless.

I would like to know the answer to that one as well.

It is not possible to sort, filter or sum or count cells based on their formatting, no matter if this is colour, currency, bold/italic/underline, font, fontsize, or whatever formatting property you can think of.

Well that's too bad. Thanks for your answer though. Since you can now change color based on rules, I thought that it might be possible to do it the other way around. Or, for example, if you select a cell or group of cells and could have it create a new cell (or column) to the right of each with the name of the color. Then you could just sort the column.

This would be a most excellent feature to include. MS Excel 2007 does it very nicely. It's magic in motion. I too use a lot of colour formatting to separate out information. I know it's not hard core spreadsheeting - but it does make for easy understanding across a broad audience of varying degrees of spreadsheet experience.

I would also love to see this feature. For those that do want some workarounds, here's one:

You can highlight a new column (I create it on the left side of the sheet), and click the tool to select a color, but you then choose to "change with rules". Then, create a match, e.g. cell contains "x" equals red, and then when you sort that column you'll get sorting by color.

Not ideal, but it does work.

I'm looking for this feature too! b/c color to me can represent action/status though we can interpret into an extra column, however color is more intuitive

if i can change a cell color, why I cannot read a cell color?

You CAN sort by background color in 2007. Highlight the area you want sorted, and when you click on the "Sort" icon under the Data Tab, choose the column that has the background color applied (or any column if the whole row has color) as the Sort by and then under Sort On, choose Cell Color, then under Order choose which color you want first, and choose "On Top" in the final drop down box. You then need to add a level and repeat for each color, choosing "On Bottom" for the final color.

I found it at: http://office.microsoft.com/en-us/excel/HP100739471033.aspx#Sort by cell color, font color, or icon

I do not want to use MS Office

<<I do not want to use MS Office>> So I'm afraid you can't sort by colour :-( I agree with you that if you can change it you'd think you could sort by it, but maybe HTML does not allow that.
