For what you're describing, the free version of Google Earth should do the trick. In this specific case, I don't see any permissions issues at all in using Google Earth to display company locations at a conference. For your future reference, you can figure out if a specific use of Google Earth is not allowed or if you need special permissions by using the Geo Permissions Guide.
